ClientView - online access to your statutory records

Recently there have been numerous instances of corporate identity theft, where fraudsters change the directors and registered office of a company at Companies House and then trade under that name, incurring thousands of pounds of debts for the innocent company (see attached article). Companies House have admitted that they do not have the resource to check filings received on paper. They also admit that they do not have the power to regulate beyond the face of a document if it appears to comply with the Companies Act and to be filed in good faith.

To help combat this problem we have now created a bespoke company secretarial package called ‘ClientView’. This is a web based product which allows us to register your company with Companies House as one that only files certain documents via electronic filing. We have an account and password set up with Companies House and then we file these documents for you electronically after receipt of your instructions. An added bonus is that, once you are set up for this, you won’t need to sign these documents to get them filed (i.e. once you have given the instruction to us, no further input is required from you).

In addition to electronic filing ClientView has the following capabilities:-

• allows you to view all of your company secretarial records remotely by entering your own secure user name and password via a web page.
• 24/7 access to your records whenever and wherever you need to.
• a feedback function within the web-based product to inform our company secretarial unit, by email, of any changes to your company.
• a data library facility that will allow us to store other documents for you as PDF documents, so that you can access (and download) these whenever you need them i.e. Certificate of Incorporation, Memorandum & Articles of Association. In addition we would discuss with you whether any existing documents relating to your company that you or we have (leases, key commercial contracts, service contracts, debentures etc) should be added to the library. As you enter into new agreements then these can be added too.
